The Executive Assistant provides high-level administrative support to the Executive Vice President (EVP) by managing schedules, communications, travel, meetings, and confidential information. This role requires a proactive, detail-oriented, and highly professional individual capable of managing multiple priorities with discretion and sound judgment.
Manage the EVP’s calendar, schedule meetings, and coordinate appointments, ensuring optimal use of time.
Screen and prioritize emails, calls, and other communications; draft responses or delegate as appropriate.
Coordinate domestic and international travel arrangements, including itineraries, accommodations, and logistics.
Prepare presentations, reports, and meeting materials, often dealing with sensitive or confidential information.
Organize and attend key meetings, including executive team meetings; prepare agendas, take minutes, and track follow-up items.
Liaise with internal departments and external stakeholders on behalf of the EVP.
Ensure all executive tasks and projects are completed on time and to a high standard.
Manage expense reports and reconcile credit card statements.
Assist with project management and cross-functional initiatives led by the EVP.
Handle confidential information with integrity and maintain professional discretion at all times.
