FL Home Buyers is hiring a detail-oriented, proactive, and highly organized Operations Manager (Freelance) to oversee daily operations, streamline processes, manage financial reporting, and ensure consistent performance across our growing real estate portfolio.
This is a remote, freelance role with a long-term opportunity for growth and expanded responsibility. Ideal for someone who thrives on structure, accountability, and data-driven decision-making—not creative brainstorming or open-ended projects.
Core Responsibilities
Operations & Systems Management
- Create and monitor departmental KPIs via scorecards
- Lead weekly performance meetings; track team progress and address operational bottlenecks
- Develop, document, and refine Standard Operating Procedures (SOPs) and process maps
- Act as system admin for REsimpli, DoorLoop, Google Workspace, and Twilio
- Manage software training, user access, and data integrity
- Oversee vendors and contractors: vetting, onboarding, payments, and issue resolution
Financial Oversight & Reporting
- Ensure accurate entry and reconciliation of income and expenses in DoorLoop
- Generate monthly and quarterly financial reports: P&L, rent rolls, occupancy
- Analyze financial performance and flag issues or trends
- Assist with budgeting and insurance management
Rental Portfolio Management
- Oversee full leasing lifecycle: MLS listings, showings, lease execution, renewals
- Proactively track lease expirations and maintain high occupancy
- Manage rent collection, delinquency, and eviction proceedings if needed
- Coordinate and approve maintenance work and vendor dispatches
- Ensure compliance with housing regulations, including Section 8
Transaction & Acquisition Coordination
- Monitor lead pipeline and acquisitions in REsimpli
- Coordinate sales listings, showing schedules, and property marketing
- Liaise with title companies, attorneys, lenders, and partners to ensure smooth closings
- Draft and organize contracts, closing documents, and deal paperwork
Executive Support
- Manage executive calendars, task priorities, and communication triage
- Draft reports, organize digital files, track expenses, and log rents
- Maintain structure and follow-up on company goals and deliverables
Marketing & Brand Oversight
- Set strategy for marketing rental properties and wholesale deals
- Manage company social media presence via Buffer
- Support SEO and website updates (basic level)
Qualifications
- 3–5+ years as an Operations Manager, Executive Assistant, or Project Coordinator
- Strong background in real estate operations (leasing, transactions, acquisitions)
- Familiarity with DoorLoop is a strong plus; experience with REsimpli or similar CRMs is highly desirable
- Remote work experience with entrepreneurs or small teams
Skills & Tools:
- Proficiency in Google Workspace (Docs, Sheets, Calendar, Drive)
- Skilled in systems thinking, documentation, and accountability
- Strong written and verbal communication
- High-level attention to detail and process optimization
