- Proven experience (3-4 years) as administration executive in KSA region.
- Knowledge of local laws, regulations, public offices.
- Proficiency in English languages is essential.
- Budgeted Salary - SAR 4-6k per month.
Job Description for Administration Operation Executive – KSA
- Responsible for facilitating various administrative tasks related to offices/service apartment.
- Government Liaison: Liaising with government authorities, ministries, and regulatory bodies for any regulatory requirements.
- Internal Communication: Keep internal stakeholders informed about support required in office and service apartment locations.
- Managing office and apartment services continuity, ensure all services payments are tracked and updated, sent for approval and payments well before due dates.
- Manage up keeping of office and company service apartment.
- Monitor and update service apartment utilization and keep tracker for best optimization.
- Seek and negotiate quote for Hotels/service apartments for Inspira employees.
- Vendor Management: Collaborate with external service providers, such as legal firms and government agencies, to ensure efficient handling of government-related matters. Visit and arrange quotation for IT relation assets for Inspira in region. Co-ordinate with internal stake holders for PO/ GRN/Booking and payments to vendors.
- Manage and handle petty cash statements and submit periodically with all legitimate supporting documents to reconcile.
- Office pantry management.
- Managing other administrative activities for region. i.e. handling company managed service apartment/office, Hotel bookings, Insurance renewals, Agreement, and negotiation with these vendors/owners.
- Managing accounts receivables/Collections. i.e. call/visit customers/partners to expedite payments.
